Integrating electronic signatures is about much more than signing a document, it allows you to automate your whole business process

Overview

The production of documents is triggered automatically without the need for any manual intervention. The process can be triggered by any event eg. changing the status of a record or case in the back-office system. Once triggered, the whole end to end process is fully automated.

Customers are sent an email or SMS message asking them to view and sign their documents. DocuSign presents a friendly and intuitive interface that helps the person navigate the document, drawing attention to important information such as the Rent or any special conditions. The person simply accepts the conditions for signing electronically and then clicks on the indicated button.

Once they have signed, the document will automatically be routed to the next person who needs to sign the document. At the end of the signing process, everyone involved is automatically emailed a signed copy of the document for their records, and a copy is filed in your Electronic Document Management System (EDMS).

Our integration with electronic signatures will automatically:

  • Produce the document directly from your back-office systems
  • Merge customer’s data into the document
  • Specify who needs to sign it and the order the document needs to be signed
  • Specify if witnesses are required
  • Specify any attachments and whether these must be read before the document is signed
  • Send the document to the signatories

While the document is with the customer the integration will:

  • Monitor the status of the document, checking if it has been viewed
  • Send reminders (if required)
  • Alert back-office staff if a document has not been viewed or is overdue for signing

Once the document is signed the integration will:

  • Download the fully signed document
  • Automatically file the fully indexed document in an electronic filing system of your choice
  • Automatically update the back office system to trigger the next stage in the process
